Rescheduling Appointments

Sometimes plans change -- a schedule conflict comes up, a client asks to move their session, or you need to shift things around. Leenkies lets you reschedule confirmed appointments to a new date and time directly from your dashboard, with automatic notifications to everyone involved.

When You Might Need to Reschedule

  • Schedule conflicts -- An overlapping commitment appears on your calendar after the appointment was booked.
  • Client requests -- Your client reaches out asking to move to a different day or time.
  • Personal availability changes -- Illness, travel, or other circumstances that prevent you from keeping the original slot.

How to Reschedule an Appointment

  1. Go to your Appointments dashboard from the sidebar.
  2. Find the appointment you want to reschedule and click on it to open the appointment details.
  3. Click the Reschedule button.
  4. Select a new date from the calendar. Available dates are shown based on your current availability settings and existing bookings.
  5. Choose a new time slot from the available options for that date.
  6. Confirm the reschedule.

What Happens When You Reschedule

When you confirm a reschedule, several things happen automatically:

The Appointment Moves to the New Slot

The appointment's date and time update immediately. The original time slot is freed up and becomes available for other bookings. The new slot is reserved and removed from your availability.

Google Calendar Updates Automatically

If you have Google Calendar connected, the existing calendar event updates to reflect the new date and time. You don't need to manually edit the event -- Leenkies handles it. The Google Meet link (if enabled) stays the same, so neither party needs a new meeting link.

Both Parties Receive Notification Emails

  • Your customer receives a rescheduling email showing the original date and time alongside the new date and time, so it's clear what changed. The email includes all relevant appointment details.
  • You receive a notification confirming the reschedule with the updated details.

This ensures no one misses the change or shows up at the wrong time.

Paid vs Free Appointments

Rescheduling works the same way for both paid and free appointments. If the customer already paid for the appointment, their payment carries over to the new date and time -- no additional charge and no refund needed. The appointment simply moves to the new slot with the existing payment intact.

What Rescheduling Doesn't Do

  • It doesn't cancel the appointment -- the booking remains active, just at a different time.
  • It doesn't change the booking type or duration -- only the date and time are updated.
  • It doesn't require the customer to take any action -- they're notified automatically and don't need to re-confirm.

Pro Tip: If you know a reschedule is coming, reach out to your client before making the change. A quick message letting them know you need to move the appointment -- and offering a couple of alternative times -- goes a long way toward maintaining trust and a professional experience.
